Organizations implement standards to provide consistent delivery of products and services to meet customer and regulatory requirements. Most countries have adopted the ISO 9001 International Standard as it focuses more on managing and implementing the requirements of ensuring the quality of processes and products, reducing costs, making sure corrective actions are in place, and preventive actions are implemented to avoid similar instances in the future.

The Quality Management System

A quality management system (QMS) is defined as a formalized system that documents processes, procedures, and responsibilities for achieving quality policies and objectives. A QMS helps coordinate and direct an organizations activities to meet customer and regulatory requirements and improve its effectiveness and efficiency on a continuous basis.

We always emphasized that when you say Quality Management System, it refers to the whole system of an organization, and it is the day-to-day plans, programs, and activities, it becomes the way of a life of a company, inculcating a culture of quality. It is all about the actual business and operations of an organization. And most interesting of the latest version of ISO 9001:2015, it also includes the interface and interrelation of other relevant interested parties which are you customers, employees, regulatory bodies, suppliers, community, and other stakeholders.

Responding to the Crisis

The pandemic crisis becomes a serious threat and risk to business continuity and organizations need to develop rigorous contingency plans to address and act on the pandemic and limit its impact on customers, employees, shareholders, and communities. C-Conduct Management Review (ISO 9001 Clause 9.3)

Top management shall review the organization quality management system to ensure its continuingsuitability, adequacy, effectiveness, and alignment with the strategic direction of the organization.

Five Cs (5-C) Priority REVIEW Focus

- Changes in external and internal issues that are relevant impacting the quality management system.

- Consider monitoring on relevant information status on the performances and effectiveness of the quality management system including trends impacted brought about the crisis

- Capacity and adequacy of resources

- Checking on the effectiveness of actions taken in the risk registers and interface preventive actions

- Continual opportunities for improvement

A-Acting and Planning of Changes adjusting/adapting to the new normal through the leadership(ISO 9001 Clauses 5.1.1d, 10 and 6.3)

Top management shall demonstrate leadership and commitment with respect to the qualitymanagement system by promoting the use of the process approach and risk-based thinking

PDCA (Plan-Do-Check-Act)

Plan: establish the objectives of the system and its processes, and the resources needed to deliver results in accordance with customers requirements and the organization policies, and identify and address risks and opportunities;

Do: implement what was planned;

Check: monitor and where applicable, measure processes and the resulting products and services against policies, objectives, requirements, and planned activities, and report the results;

Act: take actions to improve performance, as necessary.

R-Review and Revise Relevant Documented Information (ISO 9001 Clause 7.5)

As a result of review, actions, and planning of changes, the organization shall consider the alignmentand integration of the quality management system into both the documented information requiredby this International Standard; and documented information determined by the organization as beingnecessary for the effectiveness of the quality management system.

- Control of documented information (ISO9001 clause 7.5.3)

E-Ensure continual monitoring, measurement, analysis, and evaluation (ISO 9001 Clause 9.1)

The organization shall evaluate the performance and effectiveness of the quality management systemand shall retain appropriate documented information as evidence results contributing to theattainment of the C.A.R.E. to C.O.P.E

C-Customer and applicable statutory and regulatory requirements

O-Outcome-based objectives as required by all relevant interested parties

P-Product/Service and Processes Output as required at all levels needed by the quality managementSystem

E-Externally-provided processes, products and services performance requirements
